Safari Booking Terms & Conditions

1. Booking & Payment Terms

  • A booking is confirmed upon receipt of a non-refundable deposit:

    • Kenya Safaris: 40% of the total tour cost

    • Tanzania Safaris: 50% of the total tour cost

  • The balance payment must be settled no later than 30 days before the safari start date, unless otherwise agreed in writing.

  • Bookings made within 30 days of travel require full payment at the time of confirmation.

  • Payments can be made via:

    • Bank/wire transfer

    • Credit/debit card (Visa, MasterCard, American Express where applicable)

  • All bank transfer charges are the responsibility of the client and must be covered in full.

2. Pricing & Inclusions

Safari prices typically include:

  • Transport in a safari vehicle with a professional driver-guide

  • Accommodation as per itinerary

  • Meals as specified

  • Park entrance fees and conservation charges

  • Game drives and activities outlined in the itinerary

Prices exclude:

  • International flights

  • Visa fees

  • Travel insurance (mandatory)

  • Personal expenses (tips, drinks, laundry, etc.)

  • Optional activities not listed in the itinerary

All prices are based on current park fees, fuel costs, and supplier rates, and are subject to change before final payment.

3. Accommodation Policy

  • Accommodation is based on two persons sharing (double or twin room).

  • Single occupancy is available at an additional cost.

  • Lodges, camps, and hotels listed are indicative of category and standard.

  • In rare cases where a property is unavailable:

    • A similar or higher standard alternative will be provided

    • Clients will be informed in advance where possible

4. Transport & Safari Vehicles

  • Safaris are conducted using:

    • Pop-up roof safari minivans

    • 4×4 Land Cruiser vehicles

  • Vehicle type depends on itinerary, terrain, and group size.

  • The company reserves the right to use qualified subcontractors where necessary, without compromising service standards.

5. Cancellations & Refund Policy

All cancellations must be made in writing.

Cancellation charges apply as follows:

  • More than 45 days before travel: Loss of deposit

  • 30–45 days before travel: 25% of total cost

  • 15–29 days before travel: 50% of total cost

  • Less than 14 days before travel / no-show: 100% of total cost

Refunds (where applicable) are processed within 30–60 business days, less any non-recoverable third-party costs.

6. Amendments & Postponements

  • Changes to confirmed bookings must be requested at least 21 days before travel.

  • Amendments are subject to:

    • Availability

    • Supplier terms

    • Seasonal price differences

  • Postponements may incur additional costs depending on:

    • Park fee changes

    • Accommodation rate differences

    • Currency fluctuations

7. Travel Insurance (Mandatory)

All clients are required to have comprehensive travel insurance covering:

  • Trip cancellation and interruption

  • Medical emergencies and evacuation

  • Personal injury and loss of belongings

Failure to obtain adequate insurance is done at the client’s own risk.

8. Health & Entry Requirements

  • Clients are responsible for ensuring compliance with:

    • Visa requirements

    • Vaccination regulations

    • Health documentation

  • The company is not liable for denied entry due to failure to meet government requirements.

9. Liability Disclaimer

  • The company acts as an agent for transport providers, accommodation facilities, and other service suppliers.

  • While every effort is made to ensure safety and quality:

    • The company shall not be liable for injury, illness, delays, loss, or damage arising from circumstances beyond its control.

  • This includes but is not limited to:

    • Weather conditions

    • Wildlife incidents

    • Road conditions

    • Government actions or restrictions

  • Liability is governed by the laws of the country where the safari takes place.

10. Force Majeure

The company shall not be held responsible for failure or delay in performance due to events beyond its control, including:

  • Natural disasters

  • Pandemics

  • Political instability

  • Strikes or civil unrest

  • Government restrictions

In such cases:

  • Alternative arrangements or credit may be offered

  • Refunds depend on recoverability from third-party suppliers

11. Client Conduct

  • The company reserves the right to:

    • Refuse participation

    • Remove any client whose behavior disrupts the safari

  • No refund will be issued in such cases.

12. Complaints & Claims

  • Any issues during the safari must be reported immediately to the guide or company representative to allow on-site resolution.

  • Formal complaints must be submitted in writing within 30 days after the safari ends.

  • Claims submitted outside this period may not be considered.

13. Governing Law

  • These terms are governed by the laws of Kenya and/or Tanzania, depending on where the safari is conducted.

  • Any disputes shall be handled within the jurisdiction of the respective country’s courts.
