Cancellation & Refund Policy

1. Overview

This Cancellation & Refund Policy applies to all bookings made with Steve and Richard Safaris (“the Company”). By confirming a booking, you agree to the terms outlined below.

All cancellation requests must be submitted in writing via email or official communication channels.

2. Cancellation by the Client

Cancellations are subject to the following charges based on the number of days before the safari start date:

  • More than 45 days before travel:
    Loss of deposit (non-refundable)

  • 30 to 45 days before travel:
    25% of the total safari cost

  • 15 to 29 days before travel:
    50% of the total safari cost

  • 14 days or less / no-show:
    100% of total safari cost (no refund)

Critical condition:
Cancellation fees are calculated based on the total booking value, not the amount already paid.

3. Non-Refundable Components

Certain elements of your safari may be strictly non-refundable, including but not limited to:

  • Park entrance and conservation fees

  • Flights (domestic or international)

  • Gorilla/Chimpanzee permits (if applicable)

  • Special event or peak-season accommodation bookings

Third-party supplier policies govern these and remain non-refundable once secured.

4. Refund Processing

  • Eligible refunds will be processed within 30 to 60 business days after cancellation confirmation.

  • Refunds will be made using the original payment method, where possible.

  • Any bank charges, transfer fees, or currency conversion losses will be deducted from the refund amount.

5. Amendments & Postponements

  • Requests to amend or postpone bookings must be made at least 21 days prior to travel.

  • Changes are subject to:

    • Availability of accommodation and services

    • Seasonal rate differences

    • Supplier terms and conditions

  • Price adjustments will apply where:

    • Travel dates move into a higher season

    • Park fees or supplier rates increase

  • Postponed bookings must typically be used within 12 months, unless otherwise agreed.

6. Cancellation by the Company

The Company reserves the right to cancel a safari due to:

  • Unforeseen operational constraints

  • Safety concerns

  • Insufficient participation (for group tours)

  • Force majeure events

In such cases, clients will be offered:

  • An alternative safari of equal value, or

  • A credit for future travel, or

  • A refund (less unrecoverable third-party costs)

7. Force Majeure

No refunds shall be guaranteed where cancellation results from events beyond the Company’s control, including but not limited to:

  • Natural disasters

  • Weather disruptions

  • Pandemics or health emergencies

  • Government travel restrictions

  • Political instability or civil unrest

Refunds in such cases depend strictly on what can be recovered from third-party suppliers.

8. No-Show Policy

Failure to arrive on the agreed safari start date without prior notice will be treated as a no-show, and 100% of the booking cost will be forfeited.

9. Early Termination of Safari

  • No refunds will be issued for unused services if a client voluntarily leaves the safari after it has commenced.

  • This includes missed accommodations, meals, activities, or transport.

10. Travel Insurance Requirement

All clients are strongly advised to obtain comprehensive travel insurance covering:

  • Trip cancellation and interruption

  • Medical emergencies

  • Evacuation and repatriation

The Company shall not be liable for losses that could have been covered under a valid insurance policy.

11. Dispute Resolution

  • Any disputes arising from cancellations or refunds must be submitted in writing within 30 days of the cancellation date.

  • All claims will be reviewed and addressed within a reasonable timeframe.

  • This policy is governed by the laws of Kenya and/or Tanzania, depending on the safari location.
